Use AI to Plan a Small Business Workflow
Small business AI gets useful when it stops being random prompts and starts becoming a repeatable workflow.
Pick one annoying recurring job. Turn it into inputs, steps, checks, owner approval, and a saved prompt. That is where the time comes back.

- Best first workflow: Customer replies, quotes, reviews, or weekly marketing. Choose something repetitive with visible output and low risk.
- Best tool: ChatGPT, Claude, Gemini, or NotebookLM. Use a general assistant for drafting and NotebookLM when the source material matters.
- Best output: Checklist plus reusable prompt. The workflow should be repeatable by you or a team member.
- Best boundary: Human approval before sending. Anything customer-facing, financial, legal, or operational still needs owner judgment.
Start with one recurring job
Do not start by automating the business. Start by finding one thing you do every week that burns attention: customer follow-up, estimate summaries, review replies, hiring screens, FAQ updates, service page drafts, or monthly owner reports.
If you can describe the input and the desired output, AI can probably help with the middle.
Map the workflow
A workflow is not a prompt. A workflow is the whole path: what goes in, what the AI drafts, what a human checks, where the output goes, and what gets saved for next time.
This is the difference between playing with AI and building leverage.

- Input: what information is needed?
- Prompt: what should the AI do with it?
- Review: what must a human check?
- Output: where does the final answer go?
- Archive: what should be saved for next time?
Do not automate judgment too early
AI can draft a customer reply, but it should not promise a refund without your approval. It can compare vendors, but it should not sign the contract. It can outline a service page, but it should not invent work you do not offer.
The safe pattern is assistant first, automation later.
