A useful personal notebook is more than a place to accumulate summaries. It should help you find something you read and decide how it applies to a current question. AI can help organize a small set of notes, suggest connections and prepare an index. Start with a few records you can inspect instead of handing over every file you have ever saved.

Give every note three distinct parts

Use three fictional notes about making a paper booklet. N1: a workshop card recommends folding one sheet as a prototype. N2: your own trial found the title too close to the fold. N3: an idea for next time is to test a wider margin. These records have different kinds of authority.

Keep the source or observation, your interpretation and the possible next use separate. A remembered idea is not a quotation. If the source location is missing, mark it missing rather than asking the assistant to invent a citation that looks complete.

Use a small set of fields you will maintain

An authored note format is: ID, title, source and date, short summary, my observation, next use, tags. You may not need every field for every note. The purpose is to make provenance and retrieval easier, not to create administrative work that prevents you from writing anything.

Ask AI to propose a few tags from the actual notes. “Booklet,” “layout” and “prototype” may be enough for this collection. Keep ambiguous tags as suggestions until you review them. A large taxonomy can make a tiny notebook harder to search.

A request you can adapt

Organize these three fictional notes into a small Markdown notebook and index. Preserve stable IDs and distinguish source claims, personal observations and untested ideas. Do not invent missing source details. Suggest only a few useful tags and show how I would find the note about the fold.

Test the index with a question

Ask, “What should I check before printing another booklet?” A useful response points to N1 for making a prototype and N2 for the observed title placement problem. N3 supplies an untested idea to try, not a proven fix. The answer should retain those differences.

Open the referenced records and check their meaning. If the index leads to a vague summary but not the observation, revise the note title or fields. Retrieval is something you can test with ordinary questions, not a property established by having many tags.

Let the notebook change without rewriting its history

Suppose you try the wider margin and the title is still awkward. Add the new observation to N3 or create a linked follow-up. Do not rewrite the original idea as though it had always included the successful solution. The development of your understanding can be useful later.

Retain editable files in a location you control and make an explicit backup if the notes matter to you. If you use an assistant’s notebook feature, check its export and file-access behavior. A convenient conversation history is not necessarily the same as an independent copy of your notes.

Add a note that does not fit neatly

For practice, add N4: “Someone mentioned a different folding method, but I did not record the source.” Keep it as an unverified lead. Decide how the index should surface it without treating it as an instruction. This is more useful than either deleting the uncertainty or inventing its origin.

Finish by answering one question from the notebook without rereading everything. Keep a short list of failed searches; those failures tell you which titles or connections need work. Expand the system only when a real retrieval problem gives you a reason.
