Turn a group assignment into a plan everyone can inspect

Separate requirements, proposed roles, dependencies and unresolved decisions without letting an assistant assign people work.

A group project often becomes confusing before the actual work is difficult. Requirements live in one message, a proposed role in another and a deadline in someone’s memory. AI can assemble these fragments into a draft plan. The group still needs to agree on responsibilities. A useful plan makes unresolved decisions easier to discuss and keeps the assignment’s requirements visible.

Read the assignment before allocating tasks

Use this fictional brief: “Create a six-minute presentation comparing two community spaces. Include three permitted sources and one visual comparison. Present Friday. The group has three members.” The brief does not say who should research, design or speak.

Ask the assistant to extract the deliverables and constraints, quoting the relevant words. Keep optional ideas in a separate list. An interactive website might be interesting, but it is not part of this assignment and may compete with the required presentation.

Find the work that unlocks other work

A sensible draft sequence is: agree on comparison criteria; collect source passages; decide the supported comparison; design the visual; assemble and rehearse the talk. Visual design depends on knowing what the comparison says. Starting every task at once can create avoidable rework.

Keep the dependency description concrete. “Design follows research” is broad; “the comparison chart needs the two spaces’ verified opening hours” tells the researcher exactly what the designer needs. Mark the source gap if those hours are unavailable.

A request you can adapt

Turn this fictional assignment into a draft plan. Separate required outputs, optional ideas, dependencies and unresolved decisions. Propose roles as options for group agreement; do not assign classmates work or invent their availability. Include a shared review step before the final presentation.

Write a board with honest status

An authored board entry is: “Source table — proposed lead: to agree — needs: comparison criteria — done when: three passages are recorded with source details.” Another is: “Visual comparison — proposed lead: to agree — needs: reviewed source table — done when: labels match the evidence.”

After the group agrees, replace the proposal with the agreed name and record any limit on availability. Ask each person to restate their next step. This is a conversation aid, not a reason to treat an automatically filled board as consent.

Make a late change visible

Suppose one source is unavailable and a member cannot attend the rehearsal. Update the affected tasks and identify the decision required. Do not silently keep the original plan while moving its deadline in another document. Preserve one current version that the group can find.

Use AI to suggest a smaller scope that still meets the assignment. It might recommend a simpler visual or a shorter opening. The required source count and presentation length remain requirements unless the instructor changes them.

Rehearse the handoff as well as the talk

For practice, remove one source row and ask which slide now lacks support. Then shorten the presentation to five minutes as a hypothetical change. Identify which content to cut and which requirement would need clarification before treating that change as real.

Keep the assignment brief, the agreed plan, the source table and the final presentation together. A brief reflection can say what changed and why. It should distinguish the group’s decisions from the assistant’s suggestions and follow any required disclosure format.

A shared table can be enough. Add software only when the group has a specific coordination problem it solves.
