Customer questions can show where your business is making people guess. AI can help organize a small set of permitted summaries into themes so you can see a useful next change. The result should connect a question to an answer or process improvement. It should not turn a few messages into invented demand, satisfaction scores or a forecast of sales.
Prepare summaries with enough context
Use five fictional questions: “Can I get a quote from a photo?” “Do you inspect the item first?” “Can I bring it on Sunday?” “What details should I put in the form?” “Can you repair this unusual material?” Label them Q1 through Q5. These are practice records, not real customer evidence.
For real material, use summaries you are authorized to process and remove unnecessary personal details. Preserve the question’s meaning and any condition that changes the answer. A summary that removes “Sunday” would hide the opening-hours issue.
Group questions without forcing a single category
An authored grouping is: assessment and quoting, Q1 and Q2; visit timing, Q3; request preparation, Q4; service scope, Q5. Q1 may also concern the information needed in a request. Allow that connection rather than pretending every question belongs to exactly one category.
Ask for an “unclear” category when the supplied text does not establish intent. A model can always invent a tidy taxonomy; your job is to see whether the categories help someone answer the questions. Keep the record IDs beside each theme.
A request you can adapt
Group these fictional customer question summaries into a small set of useful themes. Preserve record IDs, allow overlap when justified and keep ambiguous questions visible. Suggest a page answer or process clarification for each theme. Do not infer customer sentiment, market demand or measured business impact.
Choose one improvement you can publish accurately
The first improvement might be an assessment FAQ explaining whether a photo starts the process and when a quote is provided. Confirm the actual business policy before writing the answer. A theme identifies an information need; it does not supply the missing policy.
Keep the unusual-material question as an exception that needs a response route. It may not belong in the main FAQ if the answer depends on inspection. A clear “tell us the material and include a photo if permitted” step may be more useful than a broad guarantee.
Explain what the count means
Two of five supplied questions concern assessment or quoting. That describes this small fictional set. It does not mean 40% of all customers have the same problem. In real analysis, record how the messages were selected and whether duplicates or repeated contacts are included.
If you compare periods, keep the collection method consistent and account for changes in volume or channels. A lower question count after a page edit could have several explanations. Observe the outcome over time without claiming that writing the page caused an improvement.
Test the categories with another question
Add this fictional question: “I filled in the form yesterday; does that mean I have a booking?” Decide whether it fits a current theme or exposes a new confirmation issue. Update the proposed content while retaining the distinction between an enquiry and a confirmed booking.
Save the source summaries, theme table and the approved wording together. Give the answer an owner and a review date. The practical result is a better explanation and a repeatable way to inspect new questions, not an automated customer-policy system.
