# Organize a messy folder with AI—without losing the originals

A practical file-organization workflow using an inventory, duplicate review, a rename plan and a reversible move manifest.

First make the mess legible. Then decide what to change.

A folder full of final-final documents is a good candidate for AI assistance because the problem involves language, patterns and a lot of small decisions. It is also easy to make the mess worse by renaming everything before understanding what belongs together.

## Create an index before a new folder structure

Start from a copy or backup. Ask for a table of current paths, extensions, sizes and dates. Have the agent inspect content where appropriate, recording which files it could not read. A modification date is a filesystem fact; it is not necessarily the date of the event described in the document.

For photos, separate the original filename, embedded metadata and any interpretation of the image. For research documents, retain publication details. For project drafts, identify relationships cautiously: a similar title can be a revision, a translation or a separate document. Do not collapse them automatically.

## Choose a structure that matches retrieval

Ask how you will look for these files six months from now. By project? Date? Source? Document type? Choose one primary organizing axis and use the index for the others. A deep folder hierarchy that encodes every attribute can be harder to navigate than the original mess.

Try the proposed structure on ten representative files. Include an ambiguous item. Ask the assistant to explain where each would go and why. Keep an “unresolved” category so uncertainty does not force a bad classification.

### A request you can adapt

Use this approved sample folder to propose an organization plan. First create an inventory. Then suggest a simple naming convention and destination for each file, with the reason and any uncertainty. Do not rename, move or delete yet. Show collisions, unreadable files and ambiguous versions separately.

## Distinguish identical files from similar content

A content hash can help establish that two files are byte-for-byte identical. Similar filenames cannot. Even identical copies may have a reason to exist in two project contexts. A report should therefore distinguish identity from a recommendation to remove something.

Near-duplicates require more judgment. A PDF with a new annotation may look like the same paper but contain important work. Ask for a comparison summary rather than a deletion decision. Keep originals until you have verified what the differences mean.

## Apply the reviewed plan and keep a receipt

Once the plan is right, authorize the exact changes you want. Ask for an old-path to new-path manifest and a check that the expected files exist afterward. For rename operations, collisions and case-only differences need explicit handling. Review a small batch before applying a large one.

The strongest result may be an index rather than a mass move. A searchable local page can let you filter by topic and open the original file while leaving the existing organization intact. Ask for that option if you share the folder with other people or other software depends on its paths.

### A request you can adapt

Apply the approved rename plan to the working copy only. Skip ambiguous items and collisions. Record every old and new path, verify file counts and content identity afterward, and produce a reversal plan. Stop if the actual files differ from the reviewed inventory.
