# Make a useful index of a messy folder

Create a searchable file inventory from a small approved folder while keeping originals, ambiguous labels and unreadable files visible.

A useful task, worked through.

You may not need to reorganize every file to make a folder easier to use. A small index can help you find things while preserving the originals. AI can suggest descriptions and tags when it has the right access, but begin with an inventory and a few known files so you can check what it actually read.

## Start with a copy of five harmless files

Our fictional folder contains a club notice draft, a supply list, a meeting agenda, a second version of the notice and an empty text file. The first task is to list the filenames and describe what each contains. There is no reason to start by renaming or deleting anything.

For your own practice, choose non-sensitive files you are allowed to process and make a working copy. An upload gives an assistant the uploaded material; a supported local workspace may give it different access. Ask what it can actually open and require it to identify unreadable or empty files explicitly.

## Keep the original path beside the description

Use columns for original filename, short description, suggested topic, version uncertainty and read status. An authored entry might say “notice-final-2.txt; draft club notice; events; possible later version, not confirmed; read.” The filename contains “final,” but that word alone does not prove it is the approved version.

The empty file should remain in the inventory with an empty status. A file that cannot be read should not receive a confident content summary based on its name. Ask the assistant to distinguish metadata it can see from content it has inspected. This is especially useful with scans, images and unsupported formats.

### A request you can adapt

Inventory these approved working-copy files. Preserve filenames and paths. For each, give read status, a short description supported by content and optional tags. Keep empty, unreadable and ambiguous-version files visible. Do not rename, move or delete anything. State the files you could not inspect.

## Test search with something you already know

Choose three checks before adding more files: find the supply list by an item mentioned inside it, locate both notice versions and show the empty file. If the index uses tags, test a tag that matches nothing. A clear empty state is better than quietly returning loosely related files.

If you turn the inventory into a small local page, preserve the path and description with each result. The page should help you reach the source, not replace it with an AI summary. Keep uncertain tags editable so a wrong first guess does not become the permanent organization of your collection.

## Separate finding from reorganizing

For practice, add a new version of the agenda with no date. Ask the assistant to identify what evidence would distinguish it from the earlier copy. It should not delete one merely because the titles are similar. A useful next step may be a comparison, not a cleanup.

Once the index helps, you can request a proposed rename plan with before-and-after paths and collision checks. Review that as a separate operation and retain a recovery path. Many folders become usable with a good index alone. Stop when you can find the files you need rather than expanding the project into an elaborate system you will not maintain.

## Take it further with a changed example

If the index looks tidy but a file is hard to find, test a question you would actually ask. A filename, topic and short description may be more useful than an elaborate category tree. Keep the original path so the index points back to the actual item.

Record unreadable files and uncertain classifications instead of omitting them. A missing row can make an inventory look complete when it is not. Compare the number of inspected files with the agreed input set and explain any difference.

For a further exercise, add two files with the same name in different folders. The index should distinguish their paths without renaming either. Then move only a working-copy file as a deliberate test and identify which reference needs updating.
